Although we offer full-service bookkeeping, many of our clients choose to enter their own transactions into QuickBooks and then leave the rest to us. For those who use QuickBooks online, I thought I’d share some tips for making that boring data entry go just a bit faster and easier for you.

Please note that it is not currently recommended to use the browser Internet Explorer for QuickBooks online. Not only are there some features of QuickBooks online that do not work on Explorer, my staff has recently experienced intermittent problems on other web services while using Explorer. For the purposes of using QuickBooks online, Chrome or Firefox are more reliable browsers to use. In her video of QuickBooks online tips, Michelle Long recommends using Chrome, as this allows individuals to set up a QBO user and add shortcuts without affecting their other browsing.

Here is a list of keyboard shortcuts for PC using Chrome or Firefox, courtesy of Michelle Long, CPA.

  • Ctrl+Alt+S   = Save & New
  • Ctrl+Alt+I   = Invoice
  • Ctrl+Alt+W = Write Checks
  • Ctrl+Alt+R = Receive Payment
  • Ctrl+Alt+E = Estimate
  • Ctrl+Alt+L = Lists
  • Ctrl+Alt+A = Accounts
  • Ctrl+Alt+C = Customers
  • Ctrl+Alt+V = Vendors
  • Calculations — if you are in an amount or quantity box, type in the calculation (i.e., 3+12) and hit tab (the result of 15 will be calculated and entered in the field).

Date Shortcuts:

  • T = Today
  • Y = beginning of year
  • R = end of year
  • M = beginning of month
  • H = end of month
  • W = beginning of week
  • K = end of week
  • +/ –  = day before/day after

Zoom Display (make it larger or smaller):

  • Ctrl + or Ctrl – (or hold Control and scroll up or down with your mouse to zoom in or out)
