Every profession has their busy seasons. Sometimes it may seem like we are only able to devote a portion of our year to creating a valuable experience for our customers, while other times we are just trying to survive the hectic months.

Unfortunately, even though we may be extremely busy during certain months of the year, our customers still want to hear from us during these chaotic times and still expect the same high-level customer experience.

One way to battle this dilemma is by creating a client service calendar to help add value for your customers all year round. Take a look at your year and determine when you can block out time to help your customers feel thought of even when you are just trying to keep your head above water.

You could schedule monthly newsletters regarding topics that fit into your industry, host a webinar regarding issues that would be meaningful to your clientele, or it could be simply sharing articles that you believe could be beneficial to your customers.

As you are creating your service calendar, keep in mind you do not need to host highly structured monthly meetings to show that you still care. You can keep it simple by just providing them materials or keeping in touch with them monthly to see what their needs may be. There is no specific frequency that you need to follow, but most customers would appreciate being thought of at least once per month.

If you would like more ideas on how you can be a proactive business, you should consider adding the following to your service calendar:

  1. Newsletter: Keep your customers informed by reaching out to them monthly with a newsletter. Even if they do not read it carefully, they will still be reminded of your company when they see you pop up in their inbox.
  2. Birthday Calls: Birthday calls are a great way to show that you care and it is an easy way to do a touchpoint with your customers.
  3. Branded Swag: Send your customers items with your business logo so that they are always reminded of your business.
  4. Humorous Cards: Mail your customers a funny holiday card. Once they get this in the mail, this may remind them that they have been meaning to contact you and are in need of your services.
  5. Theme party: Host a party to show your customers that you care. This is a great way to show that you are still connected with them even when life gets busy.
  6. Webinar: Start a monthly webinar to help educate your customers. Invite other professionals that are unrelated to your business to share their expertise. This shows that you are well-connected in the community and that you are truly interested in what’s best for your clients.

As you can see, there are many ways that you can stay connected with your customers even during the busy seasons of your business. Just remember that it is best to be proactive and not reactive. Your loyal customers will always want to hear from you and they will appreciate the little time it takes you to simply reach out.
