With hiring one of the topics the forefront on many owner’s minds, it is important to review your new employee orientation checklist. To show fairness and collect all proper information make sure the following is on your checklist:
- Employee duties: it is imperative that listed on the new hire contract, you have the expected employee duties and expectations. Alongside this contract, you will also need to include the company policy on important aspects such as vacation and sick time, performance evaluation standards, and outline the termination conditions.
- If necessary, include a confidentiality or non-compete agreement
- Form W-4, which informs you on what portion to withhold for federal income tax
- If appropriate, State income tax withholding form
- Form I-9, which verifies employment eligibility
- Your state’s new hire notification paperwork
- Direct deposit information for paychecks, if applicable
- Beneficiary forms such as life insurance or retirement account information
- Providing your company handbook and review important policies
With a multitude of paperwork to work through, it is important to have a personal discussion with each employee. Be sure to review the company policy and procedure with them mentioned on the checklist and discuss the specifics such as security and phone usage procedures. And finish the conversation up with the collection of signed paperwork and answering questions about further benefits such as what the insurance policy covers. This time that was set aside will make the employee feel valuable.
To further make a lasting impression, set time aside personally to welcome the new employee, give them a tour of the office, provide resources for them to do their best work, and introduce them to the other coworkers. If they will be working remotely, do what you can to help them feel welcome by introducing them to other staff through a video meeting. These personal touches will show the employee that your workplace appreciates them and will motivate them to do their best.
